We adapted our Smart India Hackathon problem statement for our final-year project. The version here isn't identical to what we proposed at the competition — we expanded and refined the solution afterward.
The problem
The existing system relies entirely on manual, human processes that are deeply time-consuming. From posting teachers to mailing appointment letters, every step drags — and maintaining teachers' service books by hand is exceedingly difficult.
A computerized, technologically advanced solution addresses these issues: web portals for all government agencies (State, District, and Taluka) and for school management — clerks and principals — to post instructors, arrange transfers, and update and manage papers and service books.


Objectives
- Handle teachers' data from hiring to retirement.
- Increase the management process's effectiveness and seamless operation.
- Manage every task from the web portal — posting teachers, transfers, records, service books, attendance, leave applications, appointment letters and transfer forms.
- Decrease labour expenses, increase security and transparency, and speed up information retrieval.
- Monitor daily attendance by instantly validating teachers' biometrics.
System architecture
A centralized server — the Teacher Management System — makes it easier to manage instructors across administrative levels. State, District, and Taluka authorities access a digital logbook holding detailed records: identity, education, work experience, performance reviews, salaries, transfers and more.
The digital logbook acts as a centralized database, removing paper records and streamlining how teacher data is accessed and updated — improving productivity while ensuring accuracy and consistency.
The system also incorporates biometric attendance, using scanners or real-time face recognition to accurately record presence — reducing manual effort and the chance of errors or fraudulent attendance.
